Volunteer Meeting Notes - Tuesday, March 18, 2008

Hi All!  

Here is the summary from the meeting on 3/18. Thank you to all who attended for your ideas and your commitment. Channel 13 did not show. Per Todd, this was probably because of the location at my house.  

THIS INITIATIVE IS OPEN TO ALL CONCERNED CITIZENS IN AND AROUND THE TOWN OF MOREAU WHO WOULD LIKE TO HAVE A DOG PARK ! PLEASE let your friends know about this initiative and ask them to fill out the on-line survey! http://www.moreaudogpark.com/dog_park_survey1.htm  

For those of you who could not attend, PLEASE review these notes and let me know what activities you would be willing to participate in. Volunteers needed for the things in RED!

WE NEED COMMITTED VOLUNTEERS TO GET THE JOB DONE!  

WE REALLY NEED PEOPLE TO VOICE THEIR SUPPORT TO THE POST STAR (SEE BELOW) AND TO OUR TOWN SUPERVISOR (pmnjenkins@adelphia.net) AND OTHER POLITICIANS!

Volunteer Meetings

    All agreed to have a standing monthly volunteer meeting

o       Third Thursday of every month 7-9pm

    Location suggested by Todd to be the Moreau Town Hall for media and accommodation considerations

    Volunteers to report back relative to activities, ideas and community campaign progress

Summary Focus

    Primary focus for the committee HAS to be on increasing community support through making community contacts, getting surveys signed and posting support signs in the communities; WE NEED TO GENERATE MORE COMMUNITY SUPPORT to prove our case to the Moreau Town Board

    Fundraising can not begin in earnest until a non-profit organization is formed; Cheryl Palma will take the lead on this

o       Todd provided Cheryl with documentation to assist in this process

o       Pledge Forms were distributed for organizations that would like to pledge future support – financial or donations (see attached); volunteers are encouraged to seek organizational support although we are not able to accept business donations at this time

Media

    ­Channel 13 called on 3/17 requesting location and time of the volunteer meeting because of the press release that they received

o       Cheryl will continue to keep the media updated via press releases and email

    Post Star – The editor of the Post Star wrote an ill-informed Op Ed on 3/19/08 http://www.poststar.com/opinion/

o       Supporters are encouraged to respond to this Op Ed to Ken Tingley at tingley@poststar.com ; PLEASE WRITE ABOUT ALL THE REASONS YOU WANT A DOG PARK!

    Post Star and The Saratogian reporters have requested to be kept informed about the progress of the initiative

    Cheryl continues to monitor and post to on-line calendars and to the media – media contacts requested  

Poster/Information Distribution

    MaryAnn and Heidi will distribute information and posters throughout Greenfield and Porters Corners; will report back to the committee

    Cheryl will create a new flyer to be distributed at the SGF Transfer station at a date to be determined; Heather will create copies on fluorescent paper to increase notice; transfer station distribution date to be determined (proposed date 4/3/08)

    Stewart’s Stores – Todd or Heidi will contact Stewart’s regarding permission to distribute flyers outside of Stewart’s stores on designated days

    Sporting Events – Volunteers are needed to distribute informational flyers at local sporting events

    Letter Writing – Volunteers are needed to write letters to local town officials/politicians in support of a dog park

    Cheryl will distribute posters throughout SGF community on the morning of 3/22

o       WE NEED VOLUNTEERS TO HELP DISTRIBUTE POSTERS, FLYERS AND SURVEYS THROUGHOUT THE COMMUNITIES

o       Terry Liddle will provide additional copies of flyers and surveys  

SGF Schools

    Committee will seek permission to distribute informational flyers within the SGF schools for children to take home to their parents  

Mailings

    A mailing needs to be created to all registered dog owners in the Town of Moreau

o       Committee is seeking addresses through the FOIL

    A business needs to be identified to fund this mailing – postage and supplies – labor can be done by dog park volunteers if needed  

Printing/Copying

    Resource needs to be identified to provide needed copying of flyers and other things such as potential signs, etc.

Fundraising

    Until a 501 is created, fundraising efforts are limited

    Individual donations can be accepted to offset costs for creating a 501, mailings and misc. items

    A bank account can be created in the interim with 2 members of the committee as official “owners” of the account  

Special Events

    Volunteers are needed for ideas and for assistance with the proposed events

    Proposed – “Doggie Gathering” in the Spring at Harry Betar Recreation Park

o       Proposed Location: Harry Betar Recreation Park

o       Proposed Dates: Saturday, April 17, 2008

§         Picnic with “bring your own goodies to share”

§         Cookout?

§         Spring Puppy Fashion Show with prizes

·        Seek local donations for prizes

    Proposed - Mike Ray Comedy Night – Mike Ray to perform his stand-up comedy act; Mike Ray and Shelley Englert will coordinate dates and the event; all proceeds to benefit the dog park initiative

o       Proposed Location – Moreau Community Center

o       Proposed Date – late April ‘08  

Fundraising

    Serious fundraising can not take place until more community support is developed

    Volunteers can seek organizational support by using the Pledge Form attached

    If volunteers would like to make donations to the initiative, a dedicated bank account will be created with two signatures of committee members on the account.

o       Volunteers are NOT to be discouraged in seeking fundraising!

o       On-line Pledge Form will be available on the website – www.moreaudogpark.com

    Special events proposed will start the fundraising efforts.  

Dog Park Consultant

    A dog park consultant has been contacted to assist with the initiative. http://parksandpastimes.com/happenings.html

    The first meeting on 3/29/08 will be at 10 New Street, S. Glens Falls at 11am

    The first meeting is at no-charge to the initiative.
